WeekdayApp ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our task management application and related services, including our Outlook Add-in.
Information We Collect
Account Information
When you create an account, we collect:
- Email address
- Name
- Password (stored securely using bcrypt)
- Profile picture (optional)
Task and Project Data
When you use WeekdayApp, we store:
- Tasks, titles, descriptions, and due dates
- Projects and client information
- Time entries and invoices
- Notes and attachments
Outlook Add-in Data
When using our Outlook Add-in, we may access:
- Email subject lines (to pre-populate task titles)
- Email sender information
- Email body excerpts (only when you include them)
Important: We only read email data when you actively use the add-in to create a task. We do not have background access to your mailbox.
Usage Data
We automatically collect:
- Device information (browser type, operating system)
- IP address
- Usage patterns and feature interactions
- Error logs for troubleshooting
Location Data
Our staff mobile application includes an optional geofencing feature that helps accountants automatically record time spent at client offices. Because this feature accesses both foreground and background location, we disclose its use in detail below.
What we access
- Precise location (foreground): while the app is open, to detect when you arrive at or leave a client's registered office.
- Precise location (background): while the app is closed or in the background, so that geofence boundaries continue to be monitored and time tracking can start without manual input.
How we use it
- Location coordinates are compared against the geofence boundaries you have configured for your clients to detect arrival and departure events.
- When an arrival or departure is detected, a record is sent to our servers and associated with the time entry that gets created or updated.
- We do not use location data for advertising, profiling, or analytics, and we do not sell or share location data with third parties.
Storage and retention
- Geofence event records (arrival/departure timestamps and the associated client location identifier) are stored on our servers in South Africa region for as long as the related time entry exists.
- We do not maintain a continuous track or history of your raw location coordinates outside of these discrete events.
Your control
- Geofencing is opt-in. The app will not access your location until you explicitly enable the feature inside Settings → Geofencing in the staff mobile app.
- You can disable geofencing at any time using the master toggle on that screen, or revoke the permission entirely from your device's system settings.
- Disabling geofencing or revoking the permission stops all further location access immediately. The rest of the app continues to function normally without it.
How We Use Your Information
